Who we are
This site, momentumapplied.ai, is operated by Momentum Applied (“Momentum Applied,” “we,” or “us”), an executive advisory practice headquartered in Miami Beach, Florida. This policy explains what information we collect through the site, how we use and share it, how long we keep it, and the choices you have. By using the site you acknowledge this policy. If you do not agree with it, please do not submit information through the site.
Information we collect
Information you give us. When you submit the contact form, we collect your name, work email, company, and message, plus your role, phone number, area of interest, and how you heard about us if you choose to share them, and your confirmation that you agree to be contacted. When you chat with Katerina or Bruno, our AI site assistants, and ask to be contacted, we collect the name, email, company, and short description of your needs that you provide, together with the conversation itself.
Information collected automatically. With a contact form submission we also record technical context: the page you submitted from, the page that referred you, and any campaign parameters in the address you arrived from. Our hosting provider keeps standard server logs, such as request time, IP address, browser type, and the pages requested, to operate and secure the site. We use your IP address in the short term to limit abusive traffic to the chat feature.
We do not require you to create an account to use this site, and we do not knowingly collect sensitive personal information such as government identifiers, financial account numbers, or health information. Please do not send any through the form or the chat.
The Katerina and Bruno site assistants
Katerina is an artificial-intelligence assistant, not a person. To write her replies, the text of the messages you type in the chat is sent to Anthropic, the company that provides the AI model, which processes it on our behalf. Anthropic’s handling of that information is described in its own terms and privacy policy, available at anthropic.com/privacy. Katerina’s answers are generated automatically, may contain errors, and are not legal, financial, or professional advice. We do not use the chat to make decisions about you that have legal or similarly significant effects.
The same chat window also has a second AI persona, Bruno, who talks about how the site and similar projects are built rather than about the practice itself. Katerina may bring him into the conversation, or you can ask for him directly. He is handled the same way as Katerina in every respect described in this section, including how messages are sent to Anthropic and stored, and he is not a person either. Bruno does not book meetings or save your contact details himself; for that, he hands the conversation back to Katerina.
We keep the questions you type to either assistant, along with the page you were on, so we can see which topics visitors care about and improve the site. These are stored without your name, email address, or IP address, and any email address or phone number in a message is masked before it is saved. They are used in a weekly summary for our team, written with the help of the same AI provider, and deleted after 12 months. Because a message can contain anything you choose to type, please do not include personal or confidential details in your questions.
If you ask Katerina to pass your details along and agree to it, the whole conversation is saved with your contact details so that the right person on our team can follow up. Katerina may decide, from what you ask, which member of our team is the best fit and send your message to that person, with a copy to our team mailbox.
Katerina can also book a meeting for you. If you agree, she uses your name, email address, and a short description of what you would like to discuss to create an event on a team member’s Google Calendar and invite you to it. Google then sends you the calendar invitation, which includes a video-meeting link, and handles that information under Google’s privacy policy. We also save the booking in our contact-management system. Katerina may instead share a link to our scheduling page, which is also provided by Google and handled under Google’s policy, not this one.
How we use information
We use the information we collect to:
- respond to your inquiry and schedule the conversations you ask for;
- keep a record of our communications and follow-ups in our internal contact-management system;
- send you a confirmation when you submit an inquiry, and route your inquiry to the right person on our team;
- understand how visitors find and use Momentum Applied, and improve the site and its assistants;
- protect the site against abuse, and comply with legal obligations.
We do not sell your personal information, and we do not share it with third parties for their own marketing or cross-context advertising.
Emails we send
After you submit the contact form or ask Katerina to pass on your details, we send you a short confirmation email. When we reply to your inquiry, that reply comes from a member of our team. If you book a meeting through Katerina, Google sends you the calendar invitation instead of our confirmation email. We do not send marketing email unless you have asked us to, and any such email will include a way to opt out.
Who we share information with
We share information only with the service providers that help us run the site and our practice, and only so they can perform those services for us:
- a hosting provider, which serves the website, keeps server logs, and provides our site analytics;
- a database provider, which stores inquiries, saved conversations, and contact records;
- an email delivery provider, which sends notifications and confirmations;
- Anthropic, which powers the site assistants;
- a domain and email-forwarding provider, which delivers mail sent to hello@momentumapplied.ai; and
- Google, which provides the calendar, meeting invitations, and video links when you book a meeting through Katerina or our scheduling page.
When you ask for a particular member of our team, or Katerina determines that person is the best fit for your request, we share your inquiry with that person. We may also disclose information if required by law or legal process, to protect the rights, safety, or property of Momentum Applied or others, or in connection with a merger, acquisition, or sale of our business, in which case the information would remain subject to this policy unless you are told otherwise.
Data storage, security, and retention
Contact-form submissions and saved assistant conversations are stored in a secured database. Access is limited to signed-in members of the Momentum Applied team, and we use industry-standard safeguards, including encrypted connections and access controls, to protect it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
We keep inquiry records, bookings, and saved conversations while we are in contact with you and for up to three years after our last contact, so that we can follow up and keep an accurate record of our dealings. After that we delete or anonymize them, unless the law requires us to keep them longer (for example, for tax, accounting, or legal-claims purposes if we work together) or you ask us to delete them sooner. Anonymous chat questions are kept for up to 12 months. We review our records at least once a year. You may ask us to delete your information at any time (see “Your rights and choices” below).
We operate in the United States, and the providers above may process information in the United States and other countries. If you use the site from outside the United States, your information will be transferred to and processed in the United States. Where the law requires safeguards for such transfers, such as those that apply to visitors in the European Economic Area, the United Kingdom, or Switzerland, we rely on the standard contractual clauses or other lawful transfer mechanisms that our providers offer.
Cookies, local storage, and analytics
Analytics. We use Vercel Web Analytics, a privacy-focused measurement service provided by our hosting provider, to count visits and understand which pages are viewed, which sites refer visitors to us, and the general country, device, and browser of visitors. It does not set cookies, does not track you across other websites, and does not build a profile of you. Visits are counted using a temporary, anonymized identifier that is not tied to your name or contact details. You can avoid analytics entirely by using a browser or extension that blocks analytics scripts.
Cookies and local storage. We do not use advertising cookies. The site stores two small items in your browser to work properly: your light or dark display preference, and a note that the assistant’s greeting has already been shown during your visit. Team members who sign in to our internal tools receive a login cookie; visitors do not. If we change how we measure site use, we will update this section first.
Because we do not track visitors across websites or for advertising, we do not respond differently to “Do Not Track” signals.
Your rights and choices
You may ask us to tell you what personal information we hold about you, to correct it, to delete it, or to stop contacting you, including any saved chat conversation, by writing to hello@momentumapplied.ai. We will verify that the request comes from you and respond within the time the law allows, generally within 45 days. We will not treat you differently for making a request.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act, which include the right to know, correct, and delete your personal information. We do not sell or share personal information as that law defines those terms.
Visitors in the EEA, United Kingdom, and Switzerland (GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, Momentum Applied is the controller of the personal information described in this policy, and you can contact us at hello@momentumapplied.ai or at the address in the Contact section. Giving us your information is voluntary; if you choose not to, we may not be able to respond to your inquiry or book a meeting.
Our legal bases. We process your information (a) to respond to your requests and arrange meetings you ask for, which is necessary to take steps at your request; (b) for our legitimate interests in running and improving our practice, keeping records of our dealings, understanding how the site is used, and keeping it secure, which we balance against your rights and interests; (c) to meet legal obligations; and (d) where you have given consent, such as agreeing that Katerina may pass your details to our team. You can withdraw consent at any time without affecting what we did before you withdrew it.
Your rights. You have the right to access your personal information and receive a copy; to have inaccurate information corrected; to have your information erased; to restrict our processing; to receive your information in a portable format; and to object to processing based on our legitimate interests. To use any of these rights, write to hello@momentumapplied.ai. We will respond within one month, which the law allows us to extend in complex cases. You also have the right to complain to your local data protection authority, and we would appreciate the chance to address your concern first.
Automated decisions. Katerina is an AI assistant, but we do not use her, or any other automated process, to make decisions about you that have legal or similarly significant effects.
Children
This site is intended for business visitors and is not directed to anyone under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
Links to other sites
The site links to third-party services, such as LinkedIn and Google Calendar. Their handling of your information is governed by their own policies, not this one.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date above, and for material changes we will take reasonable steps to make the update visible on the site.
